ClassSwap - Data Protection Statement

For the purpose of the Act the 'Data Controller' at ClassSwap is Ian Newton and he can be contacted here.

What information is stored?
Email address, encrypted password and optionally telephone numbers and medical records pertinent to the client's safety in class. Passwords are encrypted using a maximum-security one-way encryption routine and can not be decoded.
Financial accounts. If the studio chooses to use the ClassSwap financial account management system we store only records of invoices issued and payments received. We may be obliged under law to retain records for seven years.

How will the data be used?

Client's email addresses and encrypted passwords are held solely to enable clients to log in, use our services and receive emailed confirmations of actions they take when using the website. Instructors also have access to email addresses and (optionally) telephone numbers to enable them to contact clients in the event of class cancellations etc.
If the studio uses the medical records option then client's records are visible only to them and those instructors who need to see them in order to ensure their personal safety in class.
If the studio chooses to use our financial accounting system, the records are used to reconcile the invoices sent to clients and the remittances made by them. No other financial records are stored.
The studio manager may use our systems to send additional information about services they provide. Clients may opt out of this service by contacting their studio manager.

ClassSwap will never pass on any personal data to third parties.

Please note that the studios who use our services are legally bound to store certain information for up to seven years and may also retain information if it is required to continue to provide a service to clients that they have used in the past.

Additional legal stuff:

• If there were ever any breach of security we will endeavour to inform clients within 72 hours.
• After 12 months we will ask clients again at login to make sure they are still happy for us to retain their information.
• All the information we keep about clients is visible to them on a 'Profile' page. If the studio stores medical records they are both visible to clients and editable by them by clicking the link on their profile page. If the studio uses our financial accounting service then all records we retain are visible to clients on their accounts page. Other information we keep relates only to classes clients attend and swaps they have made and is not of a personal nature.
